There is an upload cut-off time of 2pm CST (12pm PST/ 3pm EST)
Footage received before cut-off:
Transcripts will be delivered within the requested turn around time starting from the upload time same day.
Footage received after cut-off:
Transcripts will be delivered within the requested turn around time starting from 9am PT / 12pm ET the next day.
Closed Sunday: Turn-around days include Monday thru Saturday. Sunday is not counted as a turn-around day.
Early deliveries: 95% of our transcripts are delivered early at no additional charge. We send completed files as they become available.
Rush Order: Orders requesting 48 hours or less TA should be scheduled in advance. You can download our app for rush order booking using the link below.
Word Documents: All transcripts are Word documents delivered via email to a distribution list of your choice. Completed transcripts are also stored on our secure server for quick password protected access for your team in one convenient location for the life of the project.
TXT Versions: TXT versions for ScriptSync and AVID import at no additional charge.
For us to provide you with the best transcripts possible, we request media include the following specifications. We do accept other settings unless otherwise noted below:
Compression Codecs: The codecs that work best for us are Apple Pro Res 422 Proxy for MOV files and H.264 with a target bitrate of 1 Mbps for MP4.
Resolution: Our preferred res on files is 480 x 320 or 640x 480. We can accept files with higher resolutions for ABS.
Good audio: Clear audio is always key to a good transcript. If there is background noise, talk overs, etc... then the quality of the transcript will reflect that.
Burn in Time Code: All video media should preferably have a reference burn-in timecode if we are timecoding the transcript. If none are supplied, start timecode will be 00:00:00:00. Burn-in frame rate MUST MATCH the media frame rate in order for us to be able to timecode the transcripts. This is required for all files if you need a timecode.
Audio only files: We accept audio only files and can plug in a start timecode and frame rate if provided, but it is not recommended since we have no visual for timecode or speaker ID, especially for multiple speaker files.
Frame Rate: If timecodes are needed, the media frame rates must be one of the following: 23.98, 24, 25, 29.97, 29.97DF, 30, 48, 50, 59.94, or 60. All other frame rates will default to 23.98fps for timecode and may not match a burn-in if provided.
Constant Time Code: Media should have a constant time code from start to finish with no more than 3 TC Breaks per file. Files with more than 3 breaks will incur a surcharge.
Media Size: Each file should not exceed approximately 1GB.
Each client is supplied with a custom upload portal that includes all upload and server access links for each project in one convenient location. Once the account is setup, you do not need to fill out a form for each upload. Simply click on the upload link on your portal and upload the media and we'll get to work on them right away.
Detailed invoices are sent out weekly to a distribution list of your choice. All invoices include PO numbers (if supplied), file names, speaker count, TA, rate and TRT. Default payment terms are NET15 but can be extended to NET30 if needed.
